Role Description – Responsibilities & Essential Function:
We are seeking an experienced, energetic, and highly organized Operations & HR Coordinator to become a key member of the Operations Team for our Healthcare client. They are a faith-based company. This is a dynamic role for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, takes initiative, and is passionate about supporting both caregivers and clients.Experience in private home care, home health, healthcare staffing, hospice, or senior living is strongly preferred, as this role requires an understanding of caregiver recruitment, compliance, scheduling, and exceptional customer service.
Position Summary
The Operations & HR Coordinator serves as the primary support for recruiting, onboarding, caregiver engagement, compliance, scheduling support, and daily office operations. This individual helps ensure caregivers have an exceptional experience from their first interview through ongoing employment while supporting the operational success of the agency. The ideal candidate is proactive, organized, solutions-oriented, and able to anticipate needs before they arise. They enjoy building relationships, creating efficient systems, and contributing to a positive, high-performing workplace culture.
Primary Responsibilities
Recruiting & Hiring
- Conduct phone interviews with caregiver applicants.
- Manage the recruiting pipeline and applicant follow-up.
- Schedule interviews and coordinate hiring activities.
- Develop and implement creative recruiting strategies to attract qualified caregivers.
- Represent client professionally throughout the hiring
- process.
New Hire Onboarding
- Complete caregiver onboarding in AxisCare and Paylocity.
- Process employment paperwork accurately and efficiently.
- Run background checks and employment verifications.
- Verify CNA licenses and all required employment credentials.
- Ensure all onboarding requirements are completed prior to employment.
Compliance & Human Resources
- Maintain accurate employee files and ensure regulatory compliance.
- Track and monitor expirations for CNA licenses, CPR certifications, TB tests, driver’s
- licenses, auto insurance, and other required documentation.
- Follow up on outstanding documentation and required training.
- Assist leadership with compliance audits and quality assurance initiatives.
- Monitor caregiver complaints, concerns, and follow-up items to ensure timely resolution
- and communication.
Caregiver Engagement
- Conduct monthly caregiver check-in calls.
- Build meaningful relationships with caregivers and serve as a resource for support.
- Develop creative caregiver appreciation, recognition, and retention initiatives.
- Follow up with caregivers regarding required education and training.
- Help foster a positive, connected culture that promotes employee satisfaction and
- retention.
Scheduling Support
- Assist the Scheduling Team during high-volume periods.
- Serve as the primary scheduler one designated day each week.
- Help fill open shifts while maintaining continuity of care.
- Communicate schedule updates professionally with caregivers and clients.
Operations Support
- Utilize Google Workspace (Gmail, Calendar, Docs, Sheets, and Drive) daily.
- Assist leadership with reports, spreadsheets, projects, and operational initiatives.
- Maintain organized office systems and workflows.●
- Answer incoming calls and provide exceptional customer service.
- Identify opportunities to improve efficiency and office processes.
- Support the leadership team with additional operational responsibilities as assigned.
Qualifications
Required
- Minimum of 3-5 years of progressively responsible experience in operations, human
- resources, recruiting, staffing, healthcare administration, or office management.
- Strong business acumen and sound professional judgment.
- Exceptional organizational and time management skills.
- Outstanding communication and interpersonal abilities.
- Excellent customer service and relationship-building skills.
- Ability to prioritize multiple projects in a fast-paced environment.
- High attention to detail with excellent follow-through.
- Self-motivated with the ability to work independently and take initiative.
- Proficient in Google Workspace, including Gmail, Google Calendar, Google Docs,
- Google Sheets, and Google Drive.
- Strong computer skills with the ability to quickly learn new software platforms.
Strongly Preferred
- Experience working in Private Home Care, Home Health, Healthcare Staffing, Hospice,
- Senior Living, or another healthcare environment.
- Experience with caregiver recruitment and retention.
- Experience using AxisCare, Paylocity, or similar HR and scheduling software.
- Knowledge of healthcare compliance, credentialing, and employment documentation.
- Scheduling experience within a healthcare environment.
