Role Description – Responsibilities & Essential Functions:

This contract will be used for a Contracting Administrative Assistant to provide administrative support to the Contracting Officer. The role is designed for providing contract-related 2 administrative support through various phases of contract award, administration, and closeout. The Contracting Administrative Assistant will work a variety of assignments including the preparation of contract documents, communicating with internal staff and external vendors, maintaining contract files and contract logs, and assist with monthly/quarterly reporting. This position is intended as an in-person role within our office (no telework). No travel is required.

The contractor shall provide, but not be limited to, the following:

  1. Provide primary support to the Contracting Officer by assisting in the support and administration of contracts issued by the district.
  2. Assist with the monthly expiring contracts by communicating with internal staff and external vendors, maintain proper records retention, initiate closeout of expired contracts.
  3. Assist with the quarterly contract review (of open contractual obligations) by communicating with internal staff and external vendors to confirm status of contract activity and invoicing as well as determining the need for any contract modifications.
  4. Maintain proper contract and procurement files per agency policy by filing electronic documents as well as establishing hard copy contract files by printing documents, printing labels, and assembling the official file in a uniform manner.
  5. Provide general office support to include typing, document review, filing, photocopying, reception coverage, and to assist the Support Services Supervisor as needed.
  6. Provide guidance to internal staff on the procedures and documents required for both new contract requests and current contract modifications.
